Snack brand in 300 natural stores. One month's remittances: 42 deductions. 31 match agreed promotions; 6 MCB charges are for a promotion that ended; 3 shortages contradict signed proof of delivery; 2 pricing differences use an old cost. 11 deductions flagged, with backup attached, ready to dispute.
Choose your planA small CPG brand that sells through UNFI does not receive the full invoice amount. Remittances come in with deductions for promotions, shortages, spoilage, pricing differences and various fees, and the backup for each one is in a different document. For a team of a few people, checking every deduction against promotion agreements, invoices and delivery records is the task that keeps sliding to next month. DeductionDesk makes it a routine.
You upload remittances and deduction backup as you receive them. Each deduction is matched to its backup and sorted by type: shortages, MCB and other promotional charges, spoilage, pricing and cost differences, freight and other fees. Instead of one long list of amounts you see what kind of money is leaving and how much of it in each category.
Then the service compares deductions with your own records: the promotions you agreed to and their dates, your current costs, and what was shipped and delivered. A promotional charge after a promotion ended, a shortage on an order with a signed delivery, a pricing difference based on an old cost — each is flagged as questionable, with the reason.
For each flagged deduction the documents for a dispute are gathered in one place: the deduction, its backup, and your evidence. You submit the dispute through the distributor's process and record it in the service; its status is tracked until the money comes back or the dispute is closed.
Over time you see patterns: which stores or regions produce most shortages, which promotions are charged after they end, how much is recovered each month. That helps you fix the cause — a promotion calendar, a delivery process — and not only the individual deduction.
DeductionDesk is built for emerging brands with one person handling finance and operations, not for large enterprises with deduction teams. It works with the files you already receive; nothing needs to be installed at the distributor.
If you prefer not to do disputes yourself, a done-for-you option is available: we review and prepare disputes, and the fee is a share of what is recovered.
Setup takes an afternoon. You enter your active promotions with their dates and agreed amounts, your current price list and your recent shipments, or upload them from the spreadsheets you already keep. From then on each new remittance is checked against these records as soon as you upload it. You can mark a deduction as accepted, as disputed or as written off, and the monthly summary shows how much was deducted, how much was disputed and how much came back.
DeductionDesk is an independent service and is not affiliated with UNFI. Decisions on disputes are made by the distributor under your agreement with it.
